Who we are

Cohelm Edutainment Training and Development Services operates this website at cohelm.fun and delivers the Cohelm Young Scientist and Young Engineers programs. In this notice, “we” and “us” mean Cohelm Edutainment Training and Development Services.

This notice explains what personal information we collect through this website, why we collect it, and what rights you have under the Data Privacy Act of 2012 (Republic Act No. 10173).

What we collect

We collect only what you enter into our inquiry form:

• Your name
• Your email address
• Your mobile number
• Your city or municipality, and your province
• The type of inquiry you are making
• Your child’s age range, if you choose to provide it
• Your school or organisation, if applicable
• Your message

We also record which page you submitted the form from, and the date and time you sent it.

The inquiry form does not record your IP address. Our hosting provider keeps standard server logs, which may include IP addresses, for security and troubleshooting.

If you use the chat assistant on this website, we also process the messages you type into it. Please read The chat assistant below before using it.

We do not ask for a child’s full name, date of birth, school records, medical or behavioural information, or any government identification through this website. Please do not send that information through the inquiry form.

Why we collect it and how we use it

We use your information to respond to your inquiry and to discuss the programs, classes, or partnership you asked about.

If you separately tick the optional updates box, we may also send you occasional announcements about Cohelm programs and classes. That consent is separate from your inquiry, and you can ask us to stop at any time.

We do not sell your information, and we do not share it for advertising.

Who can access it

Your inquiry is emailed to designated Cohelm Edutainment staff and stored in this website’s database, where only authorised administrators and editors can read it.

Our website hosting provider and our email provider process this information on our behalf in order to run the website and deliver our messages.

How long we keep it

We keep inquiries for up to 24 months after our last contact with you. We may keep a record longer where we have a legitimate business or legal reason to do so, and we will delete it sooner if you ask us to.

Cookies and analytics

We use Google Analytics to understand how this website is used — which pages people open, how they arrived, and roughly which region they are in. We use this to decide what to improve.

Google Analytics sets cookies in your browser so it can tell a returning visit from a new one and measure how long a visit lasts. Google processes your IP address as part of this and shortens it before storing it. We do not use advertising or re-marketing cookies, and we do not use this information to target advertising at you.

Analytics tells us about visits, not about people. We do not attempt to identify individual visitors from it, and we do not combine it with the details you send us through the inquiry form or the chat assistant.

If you would rather not be counted, you can block cookies in your browser settings, or install Google’s opt-out add-on from tools.google.com/dlpage/gaoptout. The website works normally either way.

Apart from analytics, this website sets no cookies for visitors who are not signed in.

Our pages load typefaces from Google Fonts. When a page loads, your browser requests those font files from Google’s servers, which means Google receives your IP address as part of that request.

The chat assistant

This website offers a chat assistant that answers questions about our programs and, if you ask it to, passes your details to our team.

What you type into the chat is sent to Google, whose Gemini service produces the replies. We use Google’s free service tier, and on that tier Google may use the messages and replies to improve their products, and those messages may be reviewed by people at Google. Please do not type anything into the chat that you would not want read by someone else — in particular, no medical or behavioural information, no school records, and no government identification.

The chat does not record your IP address. We keep a copy of a conversation only if you ask the assistant to pass your details to our team. In that case the transcript is stored alongside your inquiry so our staff can see what you were already told. Conversations that do not result in an inquiry are not stored by us.

Nothing is passed to our team until you tick the consent box in the chat.

The assistant is automated, not a member of staff. It can be wrong and it cannot make commitments on our behalf, so please confirm anything important with us directly.

You never have to use the chat. The inquiry form reaches exactly the same people and does not involve Google.

If you apply for a job with us

Our application form asks for more than the inquiry form does: your home address, your education and employment situation, your CV, your written answers, and how you rate your own confidence in a few areas.

We use all of it for one purpose — deciding who to interview and hire. It is not used for marketing, and it is not shared outside Cohelm Edutainment.

Your CV is not stored in the public part of this website. It is kept in a folder the web server is configured to refuse, under a randomly generated filename. The people handling applications reach it either by signing in to the website, or through a private link we email them that stops working after two weeks. It is not attached to any email, so it is not left sitting in mailboxes after we have deleted our copy.

We ask whether we may approach your references, and we ask for their details only if you are shortlisted — so nobody is contacted, and no referee’s details are held, without you knowing.

We keep applications for up to 12 months and then delete them, along with the CV. If you would like yours removed sooner, email us and we will do it.

Please do not include a government ID number, a photograph of an ID, or bank details in your application or CV. We do not need them at this stage.

Your rights

Under the Data Privacy Act of 2012, you have the right to:

• be informed about how your personal information is used
• access the information we hold about you
• have inaccurate information corrected
• object to how we use your information
• ask us to delete or block your information
• be told if your information is compromised
• be compensated for damages arising from misuse of your information
• complain to the National Privacy Commission
