Who we are

Cohelm Edutainment Training and Development Services operates this website at cohelm.fun and delivers the Cohelm Young Scientist and Young Engineers programs. In this notice, “we” and “us” mean Cohelm Edutainment Training and Development Services.

This notice explains what personal information we collect through this website, why we collect it, and what rights you have under the Data Privacy Act of 2012 (Republic Act No. 10173).

What we collect

We collect only what you enter into our inquiry form:

• Your name
• Your email address
• Your mobile number
• Your city or municipality, and your province
• The type of inquiry you are making
• Your child’s age range, if you choose to provide it
• Your school or organisation, if applicable
• Your message

We also record which page you submitted the form from, and the date and time you sent it.

The inquiry form does not record your IP address. Our hosting provider keeps standard server logs, which may include IP addresses, for security and troubleshooting.

If you reached us by clicking one of our advertisements or a campaign link, we also record which advertisement it was and which page you arrived on, and store that alongside your inquiry. This tells us which of our adverts are reaching families. It describes the advert, not you — it contains nothing about your device, your browsing elsewhere, or anything you did before clicking.

If you use the chat assistant on this website, we also process the messages you type into it. Please read The chat assistant below before using it.

The inquiry form and the chat assistant do not ask for a child’s full name, date of birth, school records, medical or behavioural information, or any government identification, and you should not send those through either of them.

Registering a child for one of our programs is different, and is described under If you register a child for a program below. Nothing collected there is collected anywhere else on this website.

Why we collect it and how we use it

We use your information to respond to your inquiry and to discuss the programs, classes, or partnership you asked about.

If you separately tick the optional updates box, we may also send you occasional announcements about Cohelm programs and classes. That consent is separate from your inquiry, and you can ask us to stop at any time.

Where an inquiry came from one of our adverts, we use that to judge which adverts are worth running. We do this by counting inquiries per campaign — we do not build a profile of you, and we do not pass your details to any advertising network.

We do not sell your information, and we do not share it for advertising.

Who can access it

Your inquiry is emailed to designated Cohelm Edutainment staff and stored in this website’s database, where only authorised administrators and editors can read it.

Our website hosting provider and our email provider process this information on our behalf in order to run the website and deliver our messages.

How long we keep it

We keep inquiries for up to 24 months after our last contact with you. We may keep a record longer where we have a legitimate business or legal reason to do so, and we will delete it sooner if you ask us to.

Cookies and analytics

We use Google Analytics to understand how this website is used — which pages people open, how they arrived, and roughly which region they are in. We use this to decide what to improve.

Google Analytics sets cookies in your browser so it can tell a returning visit from a new one and measure how long a visit lasts. Google processes your IP address as part of this and shortens it before storing it. We do not use advertising or re-marketing cookies, and we do not use this information to target advertising at you.

Analytics tells us about visits, not about people. We do not attempt to identify individual visitors from it, and we do not combine it with the details you send us through the inquiry form or the chat assistant.

If you would rather not be counted, you can block cookies in your browser settings, or install Google’s opt-out add-on from tools.google.com/dlpage/gaoptout. The website works normally either way.

Apart from analytics, this website sets a cookie only where one is needed to make something work — the shop uses one to remember what is in your basket as you move between pages. It holds no payment details, and it is not used for advertising.

Our pages load typefaces from Google Fonts. When a page loads, your browser requests those font files from Google’s servers, which means Google receives your IP address as part of that request.

The chat assistant

This website offers a chat assistant that answers questions about our programs and, if you ask it to, passes your details to our team.

What you type into the chat is sent to Google, whose Gemini service produces the replies. We use Google’s free service tier, and on that tier Google may use the messages and replies to improve their products, and those messages may be reviewed by people at Google. Please do not type anything into the chat that you would not want read by someone else — in particular, no medical or behavioural information, no school records, and no government identification.

The chat does not record your IP address. We keep a copy of a conversation only if you ask the assistant to pass your details to our team. In that case the transcript is stored alongside your inquiry so our staff can see what you were already told. Conversations that do not result in an inquiry are not stored by us.

Nothing is passed to our team until you tick the consent box in the chat.

The assistant is automated, not a member of staff. It can be wrong and it cannot make commitments on our behalf, so please confirm anything important with us directly.

You never have to use the chat. The inquiry form reaches exactly the same people and does not involve Google.

If you apply for a job with us

Our application form asks for more than the inquiry form does: your home address, your education and employment situation, your CV, your written answers, and how you rate your own confidence in a few areas.

We use all of it for one purpose — deciding who to interview and hire. It is not used for marketing, and it is not shared outside Cohelm Edutainment.

Your CV is not stored in the public part of this website. It is kept in a folder the web server is configured to refuse, under a randomly generated filename. The people handling applications reach it either by signing in to the website, or through a private link we email them that stops working after two weeks. It is not attached to any email, so it is not left sitting in mailboxes after we have deleted our copy.

We ask whether we may approach your references, and we ask for their details only if you are shortlisted — so nobody is contacted, and no referee’s details are held, without you knowing.

We keep applications for up to 12 months and then delete them, along with the CV. If you would like yours removed sooner, email us and we will do it.

Please do not include a government ID number, a photograph of an ID, or bank details in your application or CV. We do not need them at this stage.

If you register a child for a program

 

Our registration form asks for a great deal more than anything else on this website, because a child is going to be in our care. We collect the child’s full name and nickname, date of birth and age, gender, current school, and your home address; your name, relationship to the child, email address and contact numbers; an emergency contact; who is authorised to collect the child and whether they may travel home alone; and your answers about prior programs, learning needs and interests.

We also ask about allergies, medical conditions and current medication. Under the Data Privacy Act this is sensitive personal information, and we treat it accordingly. We ask for one reason: so the adults supervising your child know what they need to know if something happens. It is not used for anything else.

Registrations are stored separately from every other record on this website, and can be read only by Cohelm administrators and the staff running the program. Medical details are deliberately kept out of notification emails — staff are told only that a registration has arrived and must sign in to read the rest, so your child’s health information is not left sitting in several mailboxes.

The form also asks whether photographs or video of your child may be used in our materials, and records your answer. You can change that answer at any time by emailing us, and we will honour it.

We keep a registration for [REGISTRATION RETENTION PERIOD] after your child’s last session with us, and then delete it. You can ask us to delete it sooner and we will, unless we are required to keep a record of the arrangement for a legal reason.

 

If you join our mailing list

 

We keep a mailing list for people who ask to be on it. Joining it takes a separate, deliberate step: you enter your email address and tick a box that is never ticked for you. We do not add anyone to this list because they contacted us, bought a book, or enrolled in a program.

All we store is your email address, the date and time you joined, and the exact wording of the box you ticked. We keep that wording because it may change over time, and we want to be able to show you precisely what you agreed to rather than simply asserting that you agreed.

We use the list to tell you about Cohelm programs, Cohelm Books, learning resources, launches, and special offers. We do not sell it, share it, or hand it to an advertising network.

You can leave at any time — every email carries an unsubscribe link, and you can also email us and we will remove you. We keep your address until you ask us to remove it, and delete the record when you do.

 

If you buy something from us

 

When you order a book through this website, we collect your name, email address, mobile number, and the delivery address the order is going to, along with what you ordered and what you paid.

We never see your card or e-wallet details. Payment is handled for us by a licensed payment provider. Your card number, PIN, and e-wallet credentials go to them and never reach this website — we are told only whether the payment succeeded, and a reference number for it.

We give your name, delivery address, and mobile number to the courier carrying your order, because the parcel cannot reach you otherwise. We do not give them anything else.

We use your order details to take payment, deliver the order, handle a return or replacement, and answer questions about it. We do not use them for marketing unless you have separately asked for updates.

We keep order records for [ORDER RETENTION PERIOD]. Note that sales records must be retained for a set period under Philippine tax law, so unlike an inquiry, a completed order cannot simply be deleted on request.

 

Your rights

Under the Data Privacy Act of 2012, you have the right to:

• be informed about how your personal information is used
• access the information we hold about you
• have inaccurate information corrected
• object to how we use your information
• ask us to delete or block your information
• be told if your information is compromised
• be compensated for damages arising from misuse of your information
• complain to the National Privacy Commission
